Booking T&C’s, What Happends?
Lets talk about the Elephant in the room, What happens with postponed events?
The past couple of years has been a real headache for event companies and competitors, with Covid and unsettled weather really testing everyone’s patience and good will. This post lays out our standard response to postponed or cancelled events and or activities.
By Siging up for an event of actvitiy you are agreeing to these Terms and Conditions.
1) Postponed Events
This section covers all our endurance and mass participation events such as.
- Running Events (Ras Dewi Sant / How Back Yard Ultra)
- Swimming Events (all events in the Swim to the edge series and little haven)
- Cycling (All tour de shane events)
- Adventure Races and HOW Welsh warrior mud run
Our events are held in the great outdoors and are susceptible to extreme weather. We will always look to run an event, and will look for alternative ways to make it happen on the advertised day. However on occasions we may have to postone an event. If this is the case we will try and do it in good time. Because we know many competitors have a great distance to travel. You will be at the forefront these decisions in how they effect your time and finacially. But safety of you and others will be our prime consideration.
Postponing events has a serious finacial impact on the orgainiser. Getting cancellations wrong can effect the viability of future events so be assured these decisions are not taken lightly. But on the other hand we can not let financial pressures affect our decision making when it comes to safety. To help combat all of this and be fair to you. This is our policy.
Postponed Policy
- If MUUK Adventures postpone the event because of extreme weather or unforeseen circumstances outside of their control the following will apply.
- We will look to find a new date and competitors will have the choice of choosing this. If we can not find an alternative date. The event will be moved to the following year.
- Competitors will have the option to pick the new date, But will have to confirm their place no less than 2 weeks before the event. If the event is moved to the following year they will have to confirm their attendance 4 months before the event.
- If none of the new dates work for a competitor they can chose to have a 50% refund. Refunds have to be applied for within 2 months of the date the event was postponed.
- As orgainisers we can not be held responsible for any subsidiary costs you incurred, such as travel or accommodation.
- Our insurance does not cover event cancellation. There are options for you to take this out personally with online companies. If you do alot of events it might be worth while.
Event Postponed by MUUK Adventures
- If for any reason MUUK Adventures have to postpone an event the following will happen. (Other than reasons above, which includes weather and circumstances outside of our control,)
- You will recieve a refund of the full amount. (Minus the booking fee)
- We will offer you the option of deferring to the following year, If we are sure the event will run.
Cancellation, Transfers and Deferals
Cancellations – Cancellations within (14 days of booking will be fully refund minus the online booking fee. Unless the booking was made with less than a month to the start of the event. Cancellations requested via email with more than one months notice will recieve 50% refund. No refunds are given with less than one months notice.
Transfers – There are no transferring of places to another event or another person with less than one months notice and all resquests must be made via email.
Deferals – No Deferals can be made to the following year.

Mountain Events Cancelled or Postponed
The mountains are a hostile place and do suffer from extreme weather. By booking on to one of our mountain challenges you are agreeing to face pontential harsh conditions and our Booking T&C’s.
- If the weather forecasted on the mountains or roads we have to travel is extremely dangerous. We will cancel the event. If we cancel the event because of the conditions we will work with you to find an alternative date that suits all. If no new date can not be found a refund will be issued.
- Any forced cancellations to unforeseen circumstances outside the control of MUUK Adventures the same policy as above applies.
- If MUUK Adventures have to cancel the event for any reason. We will try to negotiate a new date. If none can be agreed a full refund will be given.
- If the customer cancels the event, we will look at the circumstances and try to find an alternative date. No refunds will be given on monies paid if the client cancels (In these circumstances we will look at each case individually and work out the cost already incurred by us. Depending on what they are will depend on whether another date is offered).
- If we start the challenge and the weather dictates that we can not complete it, no refunds will be given. However we will try all options including waiting for a break in the weather before making this call.
- Should a mechanical problem occur or we are delayed on the roads for any reason once the challenge starts. Once we are able to do so we will continue with the challenge and complete it no matter the time, unless through fatigue it becomes dangerous to do so.
- If the conditions mean we can not reach one of the summits. We will carry on to the next peak as not to waste the experience.
- If one member of the team has not got the appropriate clothing as per kit list. They will not be permitted to continue if the lead guide deems it unsafe to do so. No refunds will be given.
- If a group member becomes injured or fatigued the lead guide will make the final decision on whether they can continue. If it is safe to do so the rest of the group will continue on the challenge whilst the injured person is appropriately looked after. A Refund will not be given.



Cancelled / Postponed Activities
This section deals with activities such as Kayaking, Coasteering and Surfing. Again these activities are subject to the weather conditions to make them viable and safe. For example, there are very strict weather guidelines for kayaking that we have to adhere to.
- The following is our guidelines for postponing or cancelling adventure activities.
- If the weather or other unforeseen factor means that we can not run a session. In the first instance we will look to find a mutual alternative date. A full refund will be issued If no alternative date can be found.
- Cancellations by clients with less than 24 hours notice will recieve no refund. If the callcellation is made with over 24hrs notice a full refund minus the booking fee will be issued. This applies to bookings of 4 or less persons.
- Cancellations by clients with less than 48 hours notice will recieve no refund. This applies to bookings of 4 or more persons.
- In the event of group bookings where deposts have been paid, Deposits are none refundable for individual or group cancellation. And deposits can not be used to make up the full payment of another members.
- Please be assurred that in the event of any client cancellation, we will look at the circumstances and always try to offer another date.
